Five Time Management Tips

As an event planner, time management is an essential skill. "Busy" is a word commonly used in an event planner's vocabulary, and staying on top of everything at all times requires scheduling. Here are five time management tips to ensure your events stay on schedule and are executed smoothly.

1. Determine Your Productivity Style.
Figure out which way of absorbing information works best for you. Whether you're a visual, hands-on, or write-it-down type of learner, finding your mode of retaining information is key. No matter how many tasks you need to complete or details you need to oversee, it all starts with how you learn and process information. Technology is a great tool when determining how to store all of your information. There are a number of softwares and mobile apps that allow you to keep information in one place rather than having loose papers scattered across your desk and your mind. Setting reminders for yourself through  technology is an key tool to use when being an event planner.

2. Make Schedules Instead of To-Do Lists.
Now that you know how to retain information in a way that is familiar to you, it's time to create a schedule. Schedules are one of the best ways to manage your time. A to-do list can work in certain situations; however, they are a short-term solution. To-do lists allow you to quickly jot down what you can think of that need to be done in that very moment. So a to-do list may include tasks that have to be done within the next day or so. Schedules are the exact opposite. They are far more long-term than a to-do list. Establishing and maintaining a set schedule will bring you success when it comes to time management. 

3. Find Your "Bonus" Times.
Find time during your busy, hectic day that you can complete two things at once. It could be something as simple as sitting on the train to your next destination while finishing party proposals for clients. Even reading about the newest advances in lighting and drapery while getting a workout in on the treadmill. It also makes the things you may not like to do, such as commute or work out, much more tolerable. You will feel much more accomplished when you use that time wisely. 

4. Multitasking Is a Curse More Than a Blessing.
Try and be effective instead of being efficient. Doing one task whole-heartedly instead of ten things haphazardly will improve your time management tremendously. You may find yourself spending more time on one task, but you will actually be saving time when you don't have to backtrack and revise the ten things you did almost carelessly. Prioritize your work as well. Don't leave difficult things until the very end and expect them to become easy. They won't.

5. Know When It's Time to Unplug Yourself.
Although being an event planner can feel more like a hobby rather than a career at times, it is still just your job. A job has a beginning and an end every day, and it's hard for most event planners to understand that. While most of your work is done outside of the office at events, your work should stay at those events. A crucial element to time management is understanding when it's time to unwind and detach yourself from your career. Don't bring your laptop and sketchbook to date night. Hang up the phone and unplug yourself when you're with friends and family. Your job is just a part of your life, not your entire life.
